The Minutes of Village Boundary Field Tracking are formally drafted during the physical survey of village borders. This process involves adapting to real-time field conditions, marking specific locations with temporary red-painted wooden stakes, identifying permanent boundary pillars, and documenting these findings in map form.
This document is a mandatory administrative attachment required by Permendagri Number 45 of 2016 regarding the Determination and Affirmation of Village Boundaries. It ensures that the transition from a theoretical map to a physical border is legally and socially recognized by all parties involved.
Importance of Physical Verification
The field tracking process prevents overlapping territorial claims and ensures that Village Asset Management is based on verified geography. By using temporary red stakes and converting those coordinates into a formal map, the village creates a permanent historical record that minimizes future conflicts.
Instructional Guidelines for Completion
To maintain consistency in village administration, the Berita Acara must be filled out according to the following technical instructions:
- 1. Document Identification: Enter the agenda number of the neighboring territory.
- 2. Location Details: Specify the Village, Sub-district (Kecamatan), Regency/City, and Province where the boundary pillar is physically installed.
- 3. Specific Tracking Site: Enter the name of the tracked location, including the name of the Hamlet (Dusun/Lingkungan) and the Village name.
- 4. Survey Reference: Enter the official reference number of the Location Tracking Survey Data Letter (e.g., No. ……………….).
- 5. Bordering Parties: Clearly state the name of the adjacent Village involved in the boundary tracking.
- 6. Signatories & Verification:
- Signatures from relevant officials in each Village hierarchy.
- Signatures from community leaders (Tokoh Masyarakat) from both Villages.
- Full names and signatures of the bordering Village Heads/Lurahs.
- Full names and signatures of the Chairperson and members of the established Village Boundary Team.
